TUTORING TERMS AND CONDITIONS

These Tutoring Terms are our standard terms which apply to the tutoring services we provide to you or your child (known as the "Services"), by us, Verity Hawthorn-Thwaites (trading name of Verity's Maths Place) whose business address is 10 Pound Close, Ringstead, NN14 4BZ (known as the "Tutor", also referred to as us/we/our).

At the end of these Tutoring Terms, you will find some consents that we are required by UK data protection laws to obtain from you. These consents explain how we collect, use, and protect your personal information during tutoring.

Please read through the entire document carefully before signing to indicate your acknowledgement and acceptance. If you have any questions on any part of this document, please do not hesitate to ask before signing.

IMPORTANT: These Tutoring Terms will apply and become binding on you if you sign them, OR if you confirm your agreement to them in writing (including by email or text), OR if you or your child attends a session, makes payment, or accesses our services or materials. Please ensure you read them carefully before taking any of these actions.

Professional Information

All tuition is delivered by Verity or by associate tutors working under Verity's Maths Place. Our tutors are selected for their subject knowledge, tutoring ability, and suitability to work with young people.

Every tutor completes our vetting process before working with students, which includes identity and right-to-work checks, verification of qualifications, an enhanced DBS check, online suitability checks, and reference checks. All our tutors maintain up-to-date safeguarding training in accordance with educational standards.

Verity is an individual member of The Tutors' Association and works in line with its Code of Practice. All associate tutors working under Verity's Maths Place are required to adhere to the same Code of Practice, whether or not they hold individual membership themselves.

We may engage associate tutors to carry out some of the work involved in providing our Services. These associates are qualified professionals who adhere to the same professional standards as our in-house tutors. All associates have appropriate qualifications and enhanced DBS checks. By engaging with our Services, you consent to the potential involvement of associate Tutors in your education.

Where appropriate, we may refer students to other educational professionals or services. In some cases, a referral fee may be received. This fee does not impact the cost to the student. All referrals are made transparently and with consent.

We maintain professional indemnity insurance and public liability insurance appropriate for the tutoring services we provide. Details of our insurance coverage are available upon request.

Services

The Services we provide include one-to-one tuition, delivered in person and/or online, in the following subjects: KS2 Mathematics, KS3 Mathematics, GCSE Mathematics, A-level Mathematics, and GCSE Physics. The specific subjects and levels available are confirmed at the point of booking and may change from time to time. Our services do not include: special educational needs assessments or the diagnosis of learning difficulties; exam invigilation; the completion of homework, coursework or non-exam assessment on a student's behalf; childcare or supervision; or any guarantee of specific grades or examination results.

The duration of tutoring varies depending on individual learning needs and academic goals. We will regularly review progress and discuss learning plans with you.

Either party may end the tutoring arrangement at any time. Two weeks' notice is required to allow for appropriate conclusion of current topics.

We may end tutoring if we determine it is no longer beneficial, if there are concerns about student engagement or if professional boundaries cannot be maintained. In such circumstances, any advance payments will be refunded for any Services not provided.

A contract is formed between us, and you become bound by these Tutoring Terms, when any of the following occurs (whichever happens first):

You sign these Tutoring Terms;
You send us written confirmation (including by email or text message) that you have read and agree to these Tutoring Terms;
You or your child attends a tutoring session (whether in-person or online);
You make payment for our Services; or
You or your child accesses our online learning materials, platforms, or sessions.

By taking any of the actions listed above, you confirm that you have read, understood, and agree to be bound by these Tutoring Terms, whether or not you have signed them.

Sessions

Individual (One to One) Sessions

Individual sessions shall be by appointment only. Details of the session timings, length and fees shall be made available to you in advance.

Initial sessions can be made by emailing or messaging Verity or her Admin Team, or by making an appointment online through our booking system.

Unless otherwise specified or agreed, sessions recur weekly at the same time and on the same week day. Additional appointments can be made during your session with us, by message or by email, or via our online booking system, but are subject to availability.

If you know you are going to be late for a session, you should contact us to tell us. If you arrive later than 15 minutes after a session time, we will try to provide the Services you have booked but if we decide that we cannot, the appointment will be treated as cancelled without notice by you and you may be charged (see Cancellations below). This applies to face-to-face, online, or telephone sessions.

Group Sessions

We offer group tutoring sessions for small groups of students at similar academic levels. The specific group size, session timings, and fees will be agreed separately with you before booking.

We determine group composition based on academic level, age, learning objectives, and compatibility. We may move students between groups or combine/separate groups if we determine this would be educationally beneficial.

If group numbers fall below the viable minimum, we reserve the right to combine groups, adjust session length and fees proportionately, convert to one-to-one tutoring at the applicable rate, or cancel the session with reasonable notice and offer alternative arrangements.

Group Session Cancellations and Attendance:

If you cancel your child's attendance at a group session, you will be charged the full session fee regardless of notice period, unless exceptional circumstances apply (at our discretion).
Group sessions cannot be rescheduled for individual students. If your child misses a session, no makeup session will be provided.
If we cancel a group session, we will offer to reschedule or provide a full refund/credit for that session.

All students must behave respectfully toward the Tutor and other group members and participate appropriately. We reserve the right to remove a student from group tutoring if their behaviour is disruptive, they consistently fail to engage, or we determine that group tutoring is no longer suitable for that student. In such cases, we will offer to switch to one-to-one tutoring (subject to availability) or end the tutoring relationship, and will refund any prepaid fees for sessions not provided (unless removal is due to misconduct or breach of these terms).

Students and parents/guardians must respect the privacy of other group members and must not share personal information or academic performance details about other students outside the group.

In group settings, individual progress tracking may be less detailed than in one-to-one tutoring, though we will still provide periodic feedback to parents/guardians as agreed.

Online Sessions

Sessions may be provided online via a pre-agreed platform (for example Zoom, Teams, Google Meet).

When using a third-party supplier for online sessions, your personal data will be treated in accordance with our Privacy Policy, and may be subject to the privacy policy of the third-party supplier. It is your responsibility to make yourself familiar with such provider's own terms and conditions and their privacy policy.

We will make every effort to start online sessions at the scheduled time. However, we may need to delay or temporarily suspend a session due to:

Technical problems requiring fixes or necessary changes;
Illness; or
Other circumstances beyond our reasonable control.

We are not liable for any delays or disruptions caused by circumstances beyond our control. Where possible, we will give you as much advance notice as we can of any delays or the need to suspend a session.

Ahead of your online session, we ask you to plan where you will sit for the meeting. It is important that the internet connection is as strong as possible and that you have any required materials ready. We also ask that you sit in a quiet space to enable you to get the most out of the session.

We are committed to maintaining online safety for all students during virtual tutoring sessions. This includes the use of secure platforms, appropriate privacy settings, and reasonable measures to ensure that sessions are conducted in a safe, professional, and supervised online environment. Tutors will follow safeguarding and professional conduct guidelines at all times, and any concerns relating to a student's safety or wellbeing will be addressed in accordance with our safeguarding procedures.

Students are expected to conduct themselves appropriately during online sessions, including:

Joining sessions from appropriate locations (not bedrooms for students under 18 years old);
Using appropriate language and behaviour;
Not sharing session links with unauthorised individuals; and
Not recording or screenshotting sessions without permission.

For students under 18 years old, a parent or responsible adult should be present in the home during online sessions and may be asked to verify their identity at the start of the first session.

If a virtual tutoring session is disrupted by internet connectivity or technical issues, we will make reasonable efforts to reconnect. Where reconnection is not possible and the issue is on the tutor's side, we will reschedule the session or, at our discretion, offer a credit. Where the issue is on the student's side, we will offer one rescheduled session as a one-off; any further student-side disruptions will be charged as normal. A session that is substantially delivered before disruption will be treated as complete.

Any decision to reschedule or credit a session will be made on a case-by-case basis and only where the disruption is directly attributable to circumstances within our control. Disruptions caused by the client's internet connection, equipment, environment, or third-party service providers will not ordinarily be eligible for credit or rescheduling.

We use secure platforms and take reasonable steps to protect your data during online sessions. However, you are responsible for maintaining your own device security, including using secure internet connections and keeping login credentials confidential.

Any concerning behaviour, inappropriate conduct, or safeguarding concerns arising during online sessions will be addressed in accordance with our Safeguarding Policy.

In-Person Sessions

Sessions may be provided in person at a pre-agreed location. This can either be the home of the student, the home of the Tutor or at a public location that has been deemed acceptable by both the Tutor and student.

When sessions are held at the Tutor's home, for students under 18 years old, a parent or legal guardian must remain in the same household throughout the entire session. Written consent confirming the supervising adult's identity must be provided, where it is not the parent or legal guardian.

Sessions held at the student's home must take place in a communal area suitable for learning. A parent or legal guardian must be present at the start and end of the session and contactable and available in the home throughout. In some cases a parent or legal guardian may choose for a student under 18 to be tutored at the student's home without an adult present. Where this is the case, the parent or legal guardian must complete and sign our Consent Form for Tuition Without a Parent Present in advance of the first such session. We may decline or end such an arrangement at our discretion. This option is not available for sessions held at the tutor's home.

Where sessions are unsupervised, before the first in-person unsupervised session, the parent or legal guardian must provide complete emergency contact details and disclose any relevant medical concerns, allergies or health information that could affect the student during a session. It is the parent or legal guardian's responsibility to keep this information up to date. In the event of a medical emergency during a session, we will seek to contact the parent or guardian and, where necessary, the named emergency contact, and will call emergency services without delay where the situation requires it.

Where Tutors travel to provide in-person sessions at the student's home, travel time is not charged separately unless otherwise agreed in advance. Sessions may be cancelled or rescheduled by us if travel is not reasonably possible due to severe weather, transport disruptions, or other circumstances beyond our control. In such cases, no cancellation charge will apply. If it is reasonably practicable, we will offer the session remotely.

Where a session takes place at a mutually agreed public venue, such as a village hall or community centre, the venue must provide a setting suitable for learning. For students under 18, our standard expectation is that a parent or legal guardian remains present throughout. Where a parent or legal guardian wishes to leave the student unsupervised at the venue, they must complete and sign our Consent Form for Tuition Without a Parent Present in advance, and we may decline or end such an arrangement at our discretion.

We are committed to maintaining a safe environment for all tutoring sessions, whether conducted in person or online. For in-person sessions at the Tutor's premises or neutral venues, we conduct appropriate risk assessments to ensure the tutoring space is safe and suitable for learning. For sessions at the student's home, parents/guardians are responsible for ensuring the learning environment is safe and free from hazards. Parents/guardians are also responsible for providing a quiet space free from reasonably foreseen distractions.

If a student becomes unwell during a session, we will contact parents/guardians immediately and, if necessary, emergency services. The session will be terminated and rescheduled without charge.

Recording of Sessions, Photography and Marketing

We may record tuition sessions for educational purposes, such as tracking a student's progress or improving our teaching methods. We will seek your explicit consent before any such recording takes place, and you may decline or withdraw this consent at any time.

In addition, online sessions delivered by an associate tutor or those which are unsupervised are recorded as a matter of routine for safeguarding purposes, to protect both students and tutors. Where this applies, you will be informed in advance. Recordings are personal data: they are stored securely, access is restricted to those with a genuine educational or safeguarding reason, and they are retained and deleted in line with our Privacy Policy.

Students may request to record sessions for revision purposes. This requires our written consent in advance. Students are not permitted to record sessions without receiving our written consent.

Where sessions have been recorded, students are not permitted to share, broadcast, distribute or make available online the recordings without our written consent. If you would like to share the recording with someone (for example a parent or teacher) please discuss this with us.

We will not take photographs or images of students without explicit written consent from parents/guardians (for students under 16) or from adult students.

If you consent to photography, we may use images for:

Internal record-keeping and progress tracking;
Marketing materials (website, social media, promotional literature); and/or
Case studies or testimonials.

All images will be used respectfully and appropriately. We will not include full names with photographs in public materials unless specifically agreed.

Students and parents/guardians must not photograph or film Tutors without prior written consent.

You may withdraw consent for use of images at any time by notifying us in writing. We will remove images from future materials, though we cannot recall materials already distributed.

Intellectual Property and Learning Materials

All teaching materials, worksheets, presentations, notes, and other resources created by us remain our intellectual property.

You may use materials provided during tutoring solely for your personal educational purposes. You may not:

Reproduce, distribute, or share our materials with third parties;
Use our materials for commercial purposes;
Publish or post our materials online (including on social media or educational platforms); and/or
Modify our materials and present them as your own work.

Any work, assignments, or materials you create during tutoring sessions remain your intellectual property.

We may retain copies of your work for record-keeping, quality assurance, and demonstrating progress. We will not share your work externally without your explicit consent.

With your prior written consent, we may use anonymised examples of student work or case studies for training purposes or marketing materials. All identifying information will be removed.

You grant us permission to use any testimonials or feedback you provide in our marketing materials unless you specifically request otherwise. We will not share your full name in our marketing unless specifically requested by you.

Cancellations

You have a 14-day cooling-off period from booking online sessions, during which you can cancel without penalty. However, if your session is scheduled to begin within this 14-day period your right to cancel will not apply.

The following cancellation charges apply:

More than 24 hours' notice: No charge.
Less than 24 hours' notice: Full session charge.

If, due to exceptional circumstances you cancel a session without giving at least 24 hours' notice we will consider the circumstances and, in our discretion, decide whether to waive any charges.

We will always try to arrange for another student or use the time productively to avoid you having to pay the cancellation fee. However, it is not usually possible to rearrange at such short notice. If you cannot attend in person, an online or telephone session will be offered instead.

We may cancel or delay a session due to Tutor/material unavailability or circumstances beyond our control:

Cancellation: If we cancel your session, we will provide a full refund of any advance payment.
Delays: If your session start is delayed by 30 minutes or more, you may cancel and receive a full refund of any advance payment.
No liability: We will not be liable for any additional costs or losses you incur due to cancellations or delays caused by circumstances beyond our control or by your act or omission.

Fees & Payment

We will let you know in advance what our fees are via email. These will either be in accordance with our current price list or as otherwise notified to you. By accepting these terms, you are agreeing to the fees quoted to you.

Fees are charged monthly in arrears. On the first day of each month, you will receive an invoice via TutorBird covering all sessions delivered to your child during the previous month.

Payment is due within 7 days of the invoice date. Fees for each session are confirmed at the point of booking. Our current rates are available on request and may be reviewed from time to time; we will give advance notice of any change to our fees.

Payment must be made by card via Stripe through the TutorBird parent portal. In exceptional circumstances we may agree to an alternative payment method, but this must be arranged with us in advance.

All prices of Services shown in the price list are exclusive of VAT (which is not chargeable unless we notify you otherwise).

Our prices are reviewed periodically and may change. You will be notified of any price changes in advance, and any increase will only apply to sessions booked after the new prices take effect.

Where an invoice remains unpaid after its due date, we may charge reasonable late-payment interest and administration costs, provided any charge is fair, proportionate and clearly disclosed in these Terms. If payment remains outstanding after written notice, we may suspend future Services until the overdue amount is paid.

Materials and Resources

We will provide basic learning materials during sessions. Any additional resources or textbooks required will be discussed with you in advance.

Students are expected to bring their own stationery and any school materials relevant to their studies.

If exam entries or additional materials need to be purchased, these costs will be discussed and agreed separately.

Progress and Reporting

We will track your academic progress and provide regular feedback on areas of improvement and achievement. We will provide periodic lesson notes which are available via the TutorBird Portal.

Confidentiality and Privacy

We do not share data regarding your academic progress and personal information shared during sessions unless the provisions below apply.

We may share relevant information with parents/guardians (for students under 16) and, with consent, with schools or other educational professionals involved in your education.

We will ensure that any information you share with us shall not be disclosed to any person except as permitted in this section or required by law.

We may disclose information relating to you: (i) to our employees, subcontractors, advisers, or other educational professionals who need to know such information for the purposes of carrying out our Services to you; (ii) as may be required by law, a court of competent jurisdiction or any governmental or regulatory authority; and/or (iii) if we believe that you or others are at risk of harm, in which case we are entitled to report this to the relevant organisation.

Safeguarding

We are committed to safeguarding and promoting the welfare of all our students, particularly children and young people. We have a comprehensive Safeguarding Policy in place which all our Tutors adhere to.

Our safeguarding procedures ensure that all students receive our services in a safe environment, free from abuse, neglect, or harm.

All our Tutors are required to hold safeguarding training and are aware of their responsibilities under relevant children's safeguarding legislation and statutory guidance.

If we have concerns about your safety or the safety of others, we have a professional and legal duty to take appropriate action. This may include sharing information with relevant agencies such as social services, the police, or the student's school.

Our safeguarding practices align with the statutory guidance "Keeping Children Safe in Education" (KCSIE) published by the Department for Education, as updated from time to time.

All Tutors working with children and young people are familiar with the guidance and implement its requirements in our tutoring practice.

Data Protection

We will only use your personal information as set out in our Privacy Policy on our website at www.veritysmathsplace.co.uk. If you do not have access to the internet, we can provide you with a printed version of our Privacy Policy. Please request this directly if this is the case.

We are registered as Data Controllers with the UK Information Commissioner's Office (ICO).

We retain tutoring records for up to 6 years after tuition ends. Where a specific safeguarding concern requires it, relevant safeguarding information may be retained for longer. Full details of how we store and retain your information are set out in our Privacy Policy.

At the end of the retention period, we securely delete or anonymise your personal data. Physical records are securely destroyed, and electronic records are deleted from the systems in which they are held.

In the event of the Tutor stopping services, you will be notified in advance about arrangements for your records.

Use of Artificial Intelligence (AI)

Artificial Intelligence (AI): AI refers to the use of computer systems, software, or applications that are designed to perform tasks that would normally require human intelligence. This includes, but is not limited to, capabilities such as learning, reasoning, problem-solving, perception, language understanding, and interaction.

We integrate artificial intelligence (AI) tools and technologies into our service offerings to enhance efficiency, productivity, and the quality of our services. These AI tools may assist with a variety of our business tasks.

We ensure that the use of AI is transparent, and that clients are informed about the extent to which AI tools are used in the course of delivering our services. Where a tool is provided by a third-party provider, they will be acting as a data processor for us, and so we have included a link to their privacy policy which you should read to check you are comfortable with their use of your data.

We have listed below the specific AI tools we are using within our business, the purpose, the types of data we are collecting and our legal basis for this processing.

Claude — Anthropic (Generative AI Assistant)

Purpose: To support business administration, draft client and parent communications, and assist with day-to-day operational tasks.
Types of data used: Limited and anonymised data only.
Legal basis for processing: Legitimate interest.

Gemini — Google (Generative AI Assistant)

Purpose: To support lesson planning, generate teaching resources and worksheets, and assist with business administration tasks.

YesGenie (Online maths resource platform)

Purpose: To provide curriculum-aligned maths worksheets, exam questions, and video tutorials used within lessons and as a homework source.
Types of data used: No personal data is shared with YesGenie by Verity's Maths Place.
Legal basis for processing: Not applicable.

Zoom AI Companion — Zoom Workplace Pro (AI notetaker used during meetings and virtual sessions on Zoom)

Purpose: To generate meeting notes and summaries during online tuition sessions, to support session records and continuity.
Types of data used: Audio and transcript content from online tuition sessions. We use Zoom AI Companion with the setting that prevents our content being used to train Zoom's models. Students are supported through AI literacy guidance to minimise additional identifying information (such as full names, addresses, or school names) being spoken during sessions.
Legal basis for processing: Legitimate interest.

Any data processed by AI tools will be handled in compliance with applicable data protection legislation. Please see our Privacy Policy for further information about the data we are collecting and processing when using these AI systems. We will ensure that all AI tools used are configured to maintain the confidentiality and integrity of client data. Please be assured that we implement security safeguards to protect any data input into these AI systems.

Limitations of AI: Although we strive to ensure accuracy and reliability in our AI tools, they are not without limitations, and we do not guarantee their accuracy, completeness, or suitability. It is important that you independently verify your satisfaction with AI-generated outputs before relying on them in any capacity.

Your Rights:

Request Information: You have the right to request further details regarding our use of AI in your particular case.
Access and Amend Data: You may ask us to review how your personal data is processed by AI tools and request corrections if necessary.

Professional Boundaries

We maintain appropriate professional boundaries between Tutors and students at all times.

We do not provide tutoring to individuals with whom we have other significant personal, professional, or business relationships.

We do not engage in social relationships with students during or after tutoring. This includes social media connections and social events outside of tutoring sessions.

We are committed to providing equal opportunities and complying with the Equality Act 2010. We do not discriminate on the basis of age, disability, gender reassignment, marriage and civil partnership, pregnancy and maternity, race, religion or belief, sex, or sexual orientation.

We strive to make our tutoring services accessible to all students. If you or your child have any specific needs or require reasonable adjustments, please discuss these with us so we can accommodate them where possible.

Any alleged incidents of discrimination, harassment, or bullying will be taken seriously and addressed in accordance with our policies and legal obligations.

We have experience working with students with special educational needs and disabilities. We will work with you to understand your child's specific needs and make reasonable adjustments to our teaching approach where we are able to do so. We are not qualified educational psychologists or special educational needs specialists. If specialist SEND assessments or intervention are required, we will recommend appropriate professionals where possible. Parents/guardians must inform us of any diagnosed learning difficulties, disabilities, or special educational needs before tutoring begins so we can provide appropriate support.

Tutoring Disclaimers

Nature of Tutoring Services: Our tutoring services are educational support designed to supplement formal schooling. Tutoring is not a substitute for attending school, completing coursework, or engaging with classroom learning.

No Guarantee of Academic Performance: While we are committed to providing high-quality tutoring, academic success depends on multiple factors beyond our control, including:

Student effort, engagement, and attendance;
Completion of independent study and homework;
School teaching and curriculum;
Personal circumstances and wellbeing; and/or
Examination conditions and format.

We cannot and do not guarantee:

Specific grades or examination results;
Admission to particular schools, colleges, or universities;
Improved academic performance or progress within any timeframe; and/or
Success in any particular assessment or examination.

Student Responsibility: Academic progress requires active participation and effort from the student. Students are expected to:

Attend sessions prepared and on time;
Complete agreed independent work between sessions;
Engage actively during tutoring sessions; and
Communicate any difficulties or concerns.

We reserve the right to discontinue tutoring if a student consistently fails to engage or if we determine that tutoring is no longer beneficial.

Examination Entry and Administration: We do not enter students for examinations or provide examination centres. We are not responsible for examination registration, administration, or any examination-related arrangements unless specifically agreed in writing.

Third-Party Content: We may recommend or reference third-party resources, textbooks, websites, or online platforms. We are not responsible for the accuracy, availability, or content of third-party materials, nor for any costs associated with purchasing such resources.

Individual Suitability: Every student learns differently. Our tutoring approach may not suit every learning style or need. If you find our services are not meeting your expectations, please discuss this with us so we can either adjust our approach or help you find more suitable support.

Limitation of Liability

We will provide our tutoring services with reasonable care and skill in accordance with professional educational standards.

We will not be responsible for loss or damage that could not reasonably have been expected when we agreed to provide services to you; nor for any loss caused by factors outside our reasonable control.

Nothing in these terms excludes or limits our responsibility for:

Death or personal injury caused by our negligence;
Fraud or fraudulent misrepresentation; and/or
Any other liability that cannot be excluded under law.

Your consumer rights under the Consumer Rights Act 2015 and other consumer protection legislation are not affected by these terms.

Changes to these Tutoring Terms

We may change these Tutoring Terms in the future. If we do so during the course of our working together, you will be informed as soon as reasonably practicable.

Complaints and Standards

We are committed to providing a helpful and professional service that meets the needs of all our students, and we welcome feedback from students and parents/guardians.

If you have a complaint about our services, our Complaints Policy explains how to raise it and how we will handle it, including the timescales we work to and how to take matters further if you remain dissatisfied. It also covers complaints about how we use personal data. A copy of our Complaints Policy is available on our website or on request.

We always welcome feedback from our students and parents/guardians. If you have any complaint about our Services, please follow the procedure in the Complaints Policy.

General

During planned absences (holidays, training), we will provide you with advance notice where possible. Alternative arrangements can be discussed if needed.

If you need to contact us between sessions, please do so by email or telephone. Our working hours are 11am to 7pm Monday to Friday. We aim to respond to emails/voicemails within 1-2 working days.

If we are unable to continue providing services due to long-term illness, retirement, or other circumstances, we will assist with appropriate referrals where possible.

We reserve the right to refuse our services or terminate our tutoring relationship at any time if:

Payment obligations are not met;
Professional boundaries are not respected;
There is abusive, threatening, or inappropriate behaviour toward our Tutors;
False or misleading information has been provided;
We determine that tutoring is no longer appropriate or beneficial; and/or
Circumstances arise that make it impractical or unreasonable to continue.

Where we terminate services under this clause (other than for non-payment or misconduct), we will provide reasonable notice and will refund any payments made in advance for services not yet provided.

We will not discriminate when refusing or terminating services and will comply with our obligations under the Equality Act 2010.

Governing Law and Jurisdiction

These Tutoring Terms are subject to the laws of England & Wales and the jurisdiction of the English Courts.

As a consumer, you will benefit from any mandatory provisions of the law in your country of residency.

Your Consent and Agreement to these Terms

By booking and/or commencing tuition with Verity's Maths Place, you confirm that you have read, understood, and agree to these Terms and Conditions, including our appointments, payment, and cancellation policies. If you are arranging tuition for a child, you accept these Terms on their behalf.

As part of joining Verity's Maths Place, you will complete an onboarding form. This form explains how tuition sessions are recorded for safeguarding purposes, and asks for your consent to certain specific matters, including the use of AI tools, the processing of special category data, and the sharing of information with a school where relevant. You may give or decline these consents, and you may withdraw a consent at any time, although in some cases this may affect our ability to provide tuition.

Recording of sessions for safeguarding purposes is a standard part of how certain sessions are delivered, and is not optional for those sessions. This is explained in full in the onboarding form, our Safeguarding Policy, and our Privacy Policy.

If you are unsure about anything in these Terms, please ask us before tuition begins. Further information about how we use personal information is set out in our Privacy Policy, and how to raise a concern is set out in our Complaints Policy.

As part of joining Verity's Maths Place, you will complete an onboarding form. On that form you will be asked to give or decline your consent to each of the points below. Each is a separate choice, none is pre-selected, and you can withdraw any consent at any time, although in some cases this may affect our ability to provide tuition.

1) Your Personal Information

Consent for us to collect, store and use your/your child's personal and educational information to provide the tutoring services. This means we keep notes about our sessions, your contact details, and any educational information you or your child shares with us. We need this to provide the best possible tutoring, we keep it safe, and we only use it for the purposes of providing our tutoring services.

2) Sharing Information When Necessary

Consent for us to share your/your child's information with other professionals when this is needed to provide the tutoring services. This might include other Tutors or educational professionals, parents/guardians (for students under 16), schools (with your consent), companies that help us run our business (such as our booking system), and the authorities if we are worried about safety.

3) Information Storage Outside the UK

Acknowledgement that your/your child's information might sometimes be stored on servers outside the UK. Some of the systems we use may store information in other countries. We only use trusted, secure systems, and your/your child's information is still protected in line with UK data protection laws.

4) Recording of Tutoring Sessions

Consent for sessions to be recorded (audio/video) for progress tracking, improving teaching quality, and training purposes. Recordings are stored securely in line with our Privacy Policy, only viewed by Tutors, and not shared without permission.

This is separate from the routine safeguarding recording of certain sessions, which is explained above and is not optional for those sessions.

5) Use of Artificial Intelligence (AI) Tools

Consent for us to use AI tools to create materials, track progress, and provide feedback. Some information may be processed by third-party AI services, but we use reputable tools with data protection safeguards and anonymise data where possible. AI supports but does not replace human tutoring.

Your Acceptance

You have read and understood these Tutoring Terms;
You agree to follow the appointment and payment policies;
You give your consent for the points you have agreed to on our Registration Form.
